Memorable events without pulling staff off the floor.
Your graduation ceremony. The holiday concert. Family fun day. The open house that fills your September waitlist. These events do enormous work for your brand, your parent community, and your enrollment — and they’re almost impossible to execute well while also running the centre that same day.
We plan, staff, and deliver the entire event end-to-end so your educators stay where they need to be: with the children, not blowing up balloons at 6 a.m.
The problem you’re probably facing
Events get planned in spare moments. The educators who volunteer to help are the ones you need most in the classroom. The director who’s “managing” the event is actually running three things at once. Something always goes slightly wrong — the coffee runs out, the sound system doesn’t work, the photographer disappears before the group photo.
Parents love the event anyway because children are the stars. But you know what it cost to produce, and you know it took 15 hours of borrowed educator time that should have been spent on children.
Meanwhile, you never quite got to the things that would have made it truly special: the printed keepsakes, the video montage, the thoughtful touches that parents remember for years.
What we actually do

- Graduation ceremonies for preschool and kindergarten programs
- Holiday concerts and winter showcases
- Open houses for enrollment drives
- Family engagement events — BBQs, picnics, movie nights, community days
- Milestone celebrations — centre anniversaries, educator recognition, awards
- Fundraisers — silent auctions, toy drives, community initiatives
What we handle
- Full event planning — concept, timeline, budget, run-of-show
- Venue logistics — on-site setup if at your centre, venue sourcing and contracts if external
- Catering — from sourcing to service, respecting all allergies and dietary restrictions
- Vendor coordination — photographers, videographers, entertainers, decorators
- Parent communications — invitations, RSVPs, pre-event reminders
- Day-of coordination — our team runs the event while your staff focuses on children and families
- Decor, signage, and themed activities
- Keepsakes and documentation — printed programs, photo packages, video highlights, thank-you cards
- Post-event follow-up — family surveys, photo distribution, gratitude communications
Specialty: Graduation ceremonies
We do these a lot. Full-package graduation includes:
- Custom certificates and caps (appropriate for preschool)
- Class photo and individual portraits, professionally edited and delivered
- Printed memory books for each child
- Stage decor, backdrop, and signage
- Sound system, ceremony script, and MC coordination
- Reception — food, drinks, service staff
- Video montage of the graduating class’s year
How the engagement works
Planning lead time. We prefer 8–12 weeks for major events like graduations, 6–8 for open houses, 4–6 for smaller family gatherings. Emergency events (your anchor event is three weeks away and falling apart) — call us, we’ll do our best.
The process. Concept call → proposal with three budget tiers → approval → we execute. Throughout, you have visibility into timeline and budget through a shared project tracker. On event day, we arrive early, set up, run the event, clean up, and leave.
After. Within 10 business days you receive: parent survey results, photography, video highlights, expense reconciliation, and recommendations for next year.
What you can expect
- Events your families remember for years
- Zero operational disruption — no educators pulled off ratio for setup or teardown
- Measurable enrollment lift from open houses — partner centres average 4–7 new enrollments per well-run open house
- Your director actually present at their own event, not running it
Pricing
Events are priced per event, with partner-centre discounts for operators on our retainer for other services. A full graduation package for a class of 20 typically runs $3,500–$6,500 all-in. Open houses start around $1,800. Smaller gatherings from $900.
Frequently asked questions
Do you travel outside the GTA for events? Yes, for partner centres. Travel costs pass through at actual cost.
Can we bring our own photographer/caterer/entertainer? Absolutely. We coordinate with whoever you prefer.
What about events where parents bring food (potluck-style)? We coordinate these too — sign-up tracking, allergen checking, food safety guidance for volunteers.
Do you handle outdoor events with weather contingencies? Every outdoor event plan includes a weather backup. We’re based in Ontario — we’ve had to use it more than once.
Can you run fundraising events? Yes, including silent auctions, raffles (where legally permitted), sponsorship packages, and community donation drives. These can significantly offset the cost of our services.
Got a big event on the horizon? Book a call — we’ll scope it with you and give you a clear budget.
